Privacy Policy
Effective Date: 20 June 2026
Surventrics ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our survey platform and related services.
1. Information We Collect
1.1 Information You Provide
- Account Information: Name, email address, password, and organization details when you register.
- Survey Content: Questions, response data, and analytics you create or collect through our platform.
- Payment Information: Billing details processed securely through Stripe.
- Communications: Messages you send to our support team.
1.2 Information Collected Automatically
- Usage Data: Pages viewed, features used, and interaction patterns.
- Device Information: Browser type, operating system, and device identifiers.
- Log Data: IP addresses, access times, and referring URLs.
2. How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve our services
- Process transactions and send related information
- Send technical notices, updates, and administrative messages
- Respond to your comments, questions, and support requests
- Monitor and analyze trends, usage, and activities on our platform
- Detect, investigate, and prevent fraudulent or unauthorized activity
- Personalize and improve your experience with our services
3. Information Sharing
We do not sell your personal information. We may share your information in the following circumstances:
- Service Providers: With third-party vendors who perform services on our behalf (hosting, analytics, payment processing).
- Legal Requirements: If required by law or in response to valid legal process.
- Business Transfers: In connection with a merger, acquisition, or sale of assets.
- With Your Consent: When you have explicitly agreed to the sharing.
Videos in Surveys: A survey creator may include a YouTube or Vimeo video in a survey. Nothing is requested from YouTube or Vimeo when a respondent opens the survey; the video is loaded from the provider only when the respondent presses play (YouTube in its privacy-enhanced mode, Vimeo with its "do not track" setting). From then on the provider may set its own cookies and processes information such as the respondent's IP address and browser details under its own privacy policy. These providers are chosen by the survey creator and are not Surventrics sub-processors. Our Cookies Policy has more detail.
4. Data Security
We implement appropriate technical and organizational measures to protect your personal information, including:
- Encryption of data in transit and at rest
- Regular security assessments and audits
- Access controls and authentication measures
- Employee training on data protection
5. Your Rights
Depending on your location, you may have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate data
- Request deletion of your data
- Object to or restrict certain processing
- Data portability
- Withdraw consent at any time
You can download a copy of your personal data, as JSON or CSV, from the Your Data page of your account. Each copy can be downloaded for 7 days after it is made; after that we delete it, and you can ask for a new one.
You can delete your account from the same page. We then delete your profile and the personal information tied to it, and remove you from your organisations. Surveys and other work you created for an organisation stay with that organisation, no longer linked to you. Survey responses are not linked to a Surventrics account, so deleting your account does not change them. To have responses you gave to a survey erased, ask the organisation that ran the survey, which controls them, or contact us and we will pass your request on.
To exercise these rights, contact us at privacy@surventrics.ai.
6. Data Retention
We retain your personal information only for as long as necessary to provide our services and fulfill the purposes described in this policy. Specific retention periods are:
- Account data (name, email): for the duration of your account plus 30 days after closure.
- Payment details: 7 years, as required by tax and accounting law.
- Activity and security logs: 12 months, for security and support. These are the record of actions taken in your organisation's account, our administrators' record of their own actions (with their IP address and browser type), and the access log of the BI connector (the IP address and browser type of each request).
- Records of data protection requests: an entry in those logs that records a request to export or delete personal data, or a step our team took on a request, is kept for 6 years, as the record that the request was dealt with. The record of a request our team handles (your contact details, what you asked for, its status and our notes) has no end date yet: nothing deletes it.
- Usage events: 90 days. These record which features, integrations, translations and API calls an account used, for support and service improvement.
- Messages sent through our contact form: 12 months.
- Support sessions: when our staff open access to your account to help you, we record who did it, why, and their IP address and browser type. Nothing deletes these records yet, so they have no end date.
- Policy acceptances: which version of a policy you accepted, when, and your IP address and browser type, kept until your account is deleted.
- How you signed up: the page that referred you, the page you arrived on and the campaign, and the dates of your first steps (such as your first survey, a trial or a paid plan), kept until your account is deleted.
- Survey response data: no default period: kept until the survey or organisation is deleted, unless your organisation sets a retention period; you can export or delete it at any time.
- Visits to a shared results link: when a customer shares a study's results or a report with their client through a link, we log a hashed IP address (never the address itself) and browser type for each visit to the link, so the customer can see when it was opened. These records are kept for up to 12 months, including after the link is revoked or expires, and are deleted sooner only if the survey or the customer's account is permanently deleted.
For a full breakdown of what we store and for how long, see our Data Handling Policy.
7. Children's Privacy
Our services are not directed to children under 16. We do not knowingly collect personal information from children. If we learn that we have collected information from a child, we will delete it promptly.
8. International Data Transfers
Your information may be transferred to and processed in countries other than your own. We ensure appropriate safeguards are in place for such transfers in accordance with applicable law.
9. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy on our website and updating the effective date.
